Backup and export

Getting your data out, what a backup contains, and restoring one.

Your school's data is yours. You can take a copy at any time, in one click, without asking anybody.

What you can take

  • Full backup — everything, as one file that can be restored.
  • Spreadsheet export — learners, marks, fees, attendance and so on as Excel files you can open and read yourself.

Admin → Backup and export.

How often

Once a term, at minimum, and always before a rollover. Promotion changes every learner's class at once; a backup taken first is the cheapest insurance there is.

Restoring

A backup can be uploaded again. You see what it contains and what will change before anything is written, and the restore either completes fully or does nothing.

If you ever leave

Take a full backup and the spreadsheet exports. Nothing is held back and nothing is locked to GradeFlex. If you ask for your school to be erased, a final backup is taken first and given to you before anything is removed.

Backup is a paid feature and pauses when a subscription lapses. If you are winding down, take your copy before the subscription runs out — or ask us and we will take one for you.
