How a term runs in GradeFlex

Written in the order you will actually do them. Nothing here needs an account — read it first and decide whether it fits how your school works.

Step 1 · Once

Setting up your school

  1. Register — two minutes, no card
  2. Academic years & terms — add the year, pick the current term. Nothing works until you do
  3. Add your classes and streams
  4. Add subjects, and choose the grading mode per class
  5. Check the grade rubric matches your school's

Step 2 · Once a year

Getting learners in

  1. Download the import template
  2. Paste your roll into it — names, class, parent phone
  3. Upload; you see every row checked before anything is saved
  4. Upload photographs in bulk — matched by number, then by name
  5. At year end, promote everyone up a class in one step

Step 3 · During term

Marks and comments

  1. Each subject teacher signs in and enters their own marks
  2. Out-of-range marks are refused, so a stray digit never reaches a card
  3. Class teachers write comments, or let GradeFlex suggest one from the average
  4. Rate generic skills if your school reports on them

Step 4 · End of term

Report cards

  1. Check one card on screen before printing anything
  2. Print a stream, a class, or the whole school in one job
  3. Every card carries a QR code and serial for verification
  4. Text parents that results are ready — or their child's grades

Any time

Fees

  1. Set the fee structure per class, then apply it
  2. Record payments; receipts print immediately
  3. Half and full bursaries are handled properly
  4. Send reminders only to parents above a balance you choose

Any time

Talking to parents

  1. Buy SMS credits — they never expire
  2. Use the built-in alerts, or write your own message
  3. Every send shows the exact cost before it goes
  4. Invite parents to their own portal by email
