Getting started

From an empty screen to a printed report card

Ten steps, in order, because each one needs the one before it. These are the real screens, and the ring is on the button you press. The first five take about fifteen minutes and you only ever do them once.

Pick a short school code your staff will type when they sign in, like stmary. It becomes part of your address and is awkward to change later, so choose it once and choose it well. Confirm the email you registered with and you are in.

2Add your year and its terms

Admin → Academic years & terms

A Ugandan year is three terms, so adding a year creates all three at once. Then press Set current on the one you are in. Nothing else works until you do: every mark, comment, fee and report card is recorded against a term, and GradeFlex needs to know which one you are in.

A class is S.1 to S.4. A stream is a division inside it, S.1 Blue and S.1 Green. A school that does not stream makes one stream per class and names it after the class. Give each stream a class teacher: they are the person allowed to write its comments and email its cards.

Every subject the school teaches, entered once. Subjects are school-wide, and which learners sit which subject follows from whose marks you enter, so there is no second list to keep.

5Make it look like your school

Admin → Settings

Each area saves on its own, so changing one thing never disturbs another. School details holds your logo, which also becomes the faint watermark behind the card. Signature and stamp print on every card. Results and fees is where the A to E bands live: change a range or a word there and every card follows.

6Get your learners in

Learners → Import

Import the spreadsheet you already keep, in Excel or CSV, and check the preview before anything is saved. Or add them one at a time. If you are only trying GradeFlex out, one learner and one subject's marks are enough to print a real card and judge it.

7Staff accounts, then parents

Admin → Staff and parent logins

Each role sees only what it needs: a subject teacher, a class teacher and a bursar do not get the same screens. Send a setup link and the teacher chooses their own password, so nobody types a password on somebody else's behalf. Parents are invited the same way and see only their own child.

A whole stream on one screen, one subject at a time. Arrow keys move between boxes and Enter drops to the next learner. The final score and the grade are worked out as you type, so a mistake shows up at the desk instead of on a card. Nothing is saved until you press Save.

Every subject, the final score, the grade and the achievement, the position in the stream and in the class, fees, generic skills, both comments and the grade rubric, over your own logo and watermark. The QR code at the bottom is what makes it hard to forge: anyone holding the card can scan it and check against your own site that the marks on it are the marks you issued.

10Send a whole class out

Academics → Report cards

Choose the class and the term and print the lot on plain paper, or email every parent their child's PDF in one run. Each card carries a QR code, so anyone holding one can check on your own site that it is genuine and has not been altered.
